Our lawful bases
- Contract: taking steps at your request to provide a service, and providing it.
- Legitimate interests: answering your enquiries, running the chat assistant, keeping the site secure and preventing misuse.
- Consent: where you agree to us contacting you or using details you choose to share. You can withdraw consent at any time.
- Legal obligation: keeping accounting and tax records.
The AI chat assistant
Our chat assistant is an AI. Your messages are sent to Anthropic, the company that provides the AI, so it can generate replies. Please do not type passwords, card numbers or other sensitive information into the chat. We do not store your chat on our servers. A copy is kept in your own browser for the current visit only, and clears when you close the tab.
Who we share your information with
We use trusted providers to run the site and service. They process information on our behalf:
- Anthropic – powers the AI chat assistant.
- Cloudflare – hosts and secures this website and provides basic, cookie-free traffic statistics.
- Formspree – delivers contact form enquiries to our email.
- Our customer records system – contact form enquiries are also recorded in our own internal system so we can follow them up.
- Google Fonts – supplies the typefaces used on the site, which means your browser contacts Google when a page loads.
When we write a grant application for you, we share the information needed with the relevant funder, with your agreement. Some of our providers are based outside the UK, including in the United States. Where information is transferred, we rely on the safeguards those providers put in place, such as approved contract terms. We do not sell your information.
How long we keep it
- Enquiries: kept for as long as needed to deal with your request and any follow-up you agreed to.
- Client work and documents: kept while we provide the service and for a reasonable period afterwards in case of questions or revisions.
- Invoices and accounting records: kept for the period required by UK tax law, currently up to six years.
Your rights
Under UK data protection law you can ask us to: tell you what we hold about you; correct it; delete it; restrict or object to how we use it; and provide it in a portable format. You can also withdraw consent at any time. Email contact@spark-works.co.uk and we will respond within one month.
If you are unhappy with how we have handled your information, you have the right to complain to the Information Commissioner's Office at ico.org.uk or on 0303 123 1113. We would appreciate the chance to put things right first.
Cookies
We do not use advertising or tracking cookies on this site. Our chat assistant keeps your current conversation in your browser's session storage so it survives page changes. Our hosting provider may set essential cookies needed to keep the site secure.
